Work Packages
A complete list of requirements is crucial to the trade contractors and suppliers. In order to obtain accurate pricing and verify that nothing is overlooked. Detailed Work Packages must be developed for each phase of a construction project. These are standardized project requirements that have been developed over years of consistent fine-tuning.

Before a trade contractor or material supplier can submit a bid and then perform work on the project, they must have accurate and complete information. Information that is likely to change during planning and even during construction.  We call this information our JobNotes; an organized information system that we've been using for several years now.

JobNotes Work Package
  • notes / changes The current information related to a phase of the project. Routine verification prior to starting each phase is verified by project leaders and related vendors.
  • drawings / specifications Static information that should never change once final agreements have been signed. The baseline for establishing everything that is included in the project.
  • green requirements Additional information that may need to be added to the drawings, specifications and schedule depending on the requirements of the green certifying agency.
  • scopes of work / general requirements Standard requirements of all vendors that work on Groninger Homes projects. Lessons learned on every home are updated here to promote continuous improvement.
  • information / selections Information provided to; and received from, the owner related to their decisions and selections.
  • submittals / materials / ordering Required information provided by trade contractors and suppliers. Quantity estimates, order forms and procedures for ordering components of the home.
  • checklists: pre-work / in-progress / completion Forms used by the office, field and vendors to verify project readiness and completion of tasks prior to payment or work of additional trades.
  • invoicing / payments Instructions for trades for invoicing that expedites payments and prevents mistakes.
  • close out / demonstration Requirements for completing each phase of work and transferring to the owner. Instructions and demonstrations for operating various systems within the homes.
  • maintenance / warranty Instructions provided by trades to owner for maintaining their home and required procedures to completing warranty service work.

Business Excellence
In 2009 Groninger Custom Homes won a Business Excellence Award for our JobNotes project management system. Since then our JobNotes system has evolved further to take advantage of "cloud-based" applications. The cloud has increased the mobility and accessibility of all the information used in managing our projects.
